How we process your personal data under the Turkish Personal Data Protection Law No. 6698 (KVKK).

At ECTOVEX Advanced Materials (“Ectovex” or the “Company”), we care about the security of your personal data. This privacy notice has been prepared under the Turkish Personal Data Protection Law No. 6698 (“KVKK”) and the Communiqué on the Procedures and Principles for Fulfilling the Obligation to Inform, to explain how we process your personal data when you visit www.ectovex.com and contact us through the contact form, by email or by phone.

This English version is provided for information purposes. In case of any discrepancy, the Turkish version prevails.

1. Data Controller

The data controller under KVKK is ECTOVEX Advanced Materials, located at İçerenköy Mah. Prof. Dr. Necmettin Erbakan Cad. 66/B Ataşehir/İstanbul, Türkiye. For any questions or requests regarding your personal data, please contact us at info@ectovex.com.

2. Personal Data We Process

When you contact us or visit our website, we may process the following personal data:

  • Identity data: your first and last name
  • Contact data: your email address and phone number
  • Customer transaction data: your company, the application area you are interested in, the content of your message and related correspondence
  • Transaction security data: technical records such as IP address, browser and device information, and date and time of visit

Please do not share personal data unrelated to your request in your messages, in particular special categories of personal data such as health or biometric data.

3. Purposes of Processing

Your personal data is processed only for the following purposes:

  • Evaluating and responding to your information, quotation and cooperation requests
  • Conducting technical and commercial discussions about your application and process requirements
  • Managing customer relationships and communication activities
  • Ensuring the security of the website and preventing misuse and spam submissions
  • Fulfilling our legal obligations and responding to requests from competent authorities

4. Method of Collection and Legal Basis

Your personal data is collected partly by automated and partly by non-automated means through the contact form on our website, email and phone; and, while the website is operating, through server logs generated automatically by the hosting infrastructure.

This data is processed on the following legal grounds set out in Article 5(2) of KVKK:

  • Processing is necessary for the establishment or performance of a contract, provided that it directly relates to the contract (Art. 5/2-c) — evaluating quotation and cooperation requests
  • Processing is necessary for the data controller to comply with its legal obligations (Art. 5/2-ç)
  • Processing is necessary for the legitimate interests of the data controller, provided that it does not harm your fundamental rights and freedoms (Art. 5/2-f) — responding to your request and keeping the website secure

5. Transfer of Personal Data

Your personal data may be transferred, limited to the purposes above and in accordance with Articles 8 and 9 of KVKK, to the following groups of recipients:

  • IT infrastructure service providers: the hosting provider of the website and the email delivery service that forwards contact form messages to our email address
  • Where necessary to fulfil your request, technology providers and suppliers we work with (for example in technical evaluation processes)
  • Legally authorised public institutions and judicial authorities

As the servers of our hosting and email service providers may be located outside Türkiye, your personal data may be transferred abroad. Such transfers are carried out in accordance with the conditions and appropriate safeguards set out in Article 9 of KVKK.

6. Retention Period

Your personal data is retained for as long as required by the purposes of processing and for the retention and limitation periods set out in the applicable legislation. When these periods expire, your personal data is deleted, destroyed or anonymised.

7. Cookies

Our website does not use cookies for advertising, marketing or profiling purposes. The site only uses a strictly necessary session cookie (NEXT_LOCALE) to remember your language preference.

The Google Maps content on the contact page may cause Google LLC to use its own cookies, which are subject to Google’s privacy policy. You can delete or block cookies at any time through your browser settings.

8. Your Rights under Article 11 of KVKK

Under Article 11 of KVKK, you have the right to apply to our Company to:

  • learn whether your personal data is processed,
  • request information if your personal data has been processed,
  • learn the purpose of processing and whether your data is used in line with that purpose,
  • know the third parties in Türkiye or abroad to whom your personal data is transferred,
  • request correction of your personal data if it is incomplete or inaccurate,
  • request deletion or destruction of your personal data under the conditions set out in Article 7 of KVKK,
  • request that corrections, deletions or destructions be notified to the third parties to whom your personal data has been transferred,
  • object to a result against you arising from the analysis of your data exclusively through automated systems,
  • claim compensation for damages if you suffer loss due to unlawful processing of your personal data.

9. How to Apply

You may submit requests regarding your rights, in accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller and together with information identifying you: by a signed written application delivered in person or through a notary to İçerenköy Mah. Prof. Dr. Necmettin Erbakan Cad. 66/B Ataşehir/İstanbul, or by email to info@ectovex.com signed with a secure electronic or mobile signature, or sent from an email address you have previously notified to us and that is registered in our systems.

Your application will be concluded free of charge as soon as possible and within thirty days at the latest, depending on the nature of the request. If the process requires an additional cost, a fee may be charged according to the tariff set by the Personal Data Protection Board.

10. Changes

This privacy notice may be updated in line with changes in legislation or in our data processing activities. The current version is always published on this page.
